Trip Cancellation Policy
Cancellation must be notified in writing to the office of “Cultural Treks & Expedition”. Cancellation charges shall be levied as follows:
- More than 15 days before departure: Loss of deposit
- Less than 15 days before departure : US$ 100 Per Person
- After starting the trip or trek: No refund
Passport and Visas
All travelers must carry valid passport appropriate visas and 4 passport size picture on upon arrival.
Changes to your Itinerary
Our trips are organized many months in advance and it may become necessary to make an alteration to your holiday. Where practical, we will advise you of such change before you depart. These trips go into remote areas of Nepal and Tibet. We may need to change itineraries because of weather, illness or accident, civil unrest or force major after your trip starts. The trip leader, Sirdar or trekking guides has responsibility for taking the action that he/she deems appropriate. We try not to change the finish date of your holiday, so that your onward arrangements are not affected. There are usually no refunds or extra changes levied as a result of itinerary changes.
Not included tour, trek, peak climbing and expedition
- Personal nature expenses.
- Airfare: To & from your country.
- Nepal entry visa and Re-entry visa fees (Can be obtained at the airport on upon arrival).
- International airport departure tax.
- Personal local transportation in Kathmandu except our given programs.
- Major meals: Lunch and Dinner during your stay in Kathmandu & Pokhara.
- All drinks except tea and coffee.
- Personal medicines and First-Aid expenses.
- Personal insurance such as travel, accident, medical and emergency evacuation.
- Nepal custom duty for import of expedition goods arriving to Nepal by air or road. Postage letter, Laundry service, Telephone calls and all other items of personal nature.
- Tips for Nepalese crews, etc.
Including above for who come to “expedition propose”
- Personal climbing gear and equipment above base camp.
- High altitude food, fuel Gas & stove above base camp. (For expedition propose)
- Oxygen, Mask & regulator.
- Personal Gammo Bag for the life saving device, incase of altitude sickness for Member. (Sort of programs for Peak climbing and expedition propose only.
- Climbing Sherpa.
- Walkie-Talkie. permit, Radio Permit, Satellite phone permit,
- Extra Porter or Yak: Per Porter US $ 10 and US $ 14 per Yak's will be charged if luggage is over 40 KG.
- Summit bonus US $ 500 for climbing guide (Sherpa). It is depend on mountain. (if required by climbers)
Note: Garbage Deposit: US $........ (Sharing with all total of the expedition climbers) and deposit fee will be not refunded if the climbers don’t take back their garbage to Base Camp.
Mountain Flight Delays in Nepal
Bad weather is mountains reasons can cause flight delays. The mainly applies to Jumla (Simikot), Juphal, Jomsom, Lukla, Tumlingtar and Taplejung in Nepal. Except some of our treks and expedition programs using airstrip include extra days in Kathmandu at the end of the trek to allow for delays. If the delay is extended, it may be necessary for us to re-route the trek. If you are delayed in above these mentioned airstrips apart from the itinerary then we will meet your accommodation and food costs on a normal trek basis or alternatively you can ask for helicopter charter flight to Kathmandu paying by yourself. Because we do not accept responsibility for charges incurred a result of your missing international flight connection. However, we will help organize your arrangements and airlines are normally supportive of forced changes to your flight.
Booking Form
Please complete the booking from accurately, give the same name (eg: Maiden or married) as in your passport. Errors can cause delays and additional expenses with visas and permits. If you do not yet have a passport or confirm flight, you can leave these details blank when booking and forward the information’s to “Cultural Treks & Expedition” as soon as you have it. Please remember that we need your flight details so that we can meet you at the airport, and we require your passport details so that we can obtain your trekking, peak climbing or expedition permits in advance.
Tipping System
It is standard practice on trips in Nepal to tip the trekking crew, which includes Cook, Assistant Kitchen Sherpas, Climbing Sherpas and porters, please allow them each person US $ 2 per trekking day for tips. Your group should then present the tip to your Leader, Sirdar, or trekking guide part of a farewell on the last day of your trip. He will then distribute the funds to the crew or give directly to them by your self.
Responsibility of Cultural Treks
Cultural Treks & Expedition acts as agent for transport companies, hotels and contractors and shall not be held liable for injury, damage, loss delay or irregularity that may occur, including, but not limited to, any defect in a vehicle or any other form of conveyance. The acts or defaults of any company or person engaged in conveying a traveler, acts of God, detention; delays or expenses arising from quarantine, strike, theft, force major, civil disturbance, government restriction or regulation, accident by aircraft, boat, bicycle, motor vehicle or any other form of transport, or in any hotel, guest house, or other form of accommodation. The traveler understands that during the course of the trip, certain risks and hangers may occur including but not limited to the hazard of accident or illness in remote places without medical facilities, and the forces of nature. The traveler agrees to assume all risk associated with the journey and must agree with Cultural Treks. Its employees, agents and any member of the group shall not be held liable for personal injury, death, illness or delay of the traveler or any subsequent loss or damages to the traveler’ any loss of or damage to property of the traveler; during the courses of the trip. Howsoever, caused, whether occurring in the country or the itinerary or elsewhere. The traveler also understands that he / she is traveling in areas which may be remote, subject to varying climatic conditions, politically unstable. Cultural Treks, reserves the rights to decline accept or retain any person as a member of any party at any time. Travelers agree to accept the authority of the group leader, Sirdar or trekking guide. Cultural Treks will not accept responsibility or liability for any traveler who contravenes any law or regulation of any country visited. Traveler detained as a result of infringement of any law or regulation of any country may be excludes from the adventure, without any right to refund or any other claim, by the group leader. No employee servant or agent of Cultural Treks has authority to vary these conditions. This agreement is governed in all aspects by and interpreted in accordance with the law of Nepal.
